February 2023 Business Meeting Minutes

Officer Reports:

*Seneschal: HL Sabina di Zorzi

`Temporary Contingency Seneschal: Maighster Conal MacLaren

-Calling diplomatic organizers!  I’m seeking a new Contingency Seneschal as well as other deputies.  Kingdom has been having monthly training classes open to anyone interested, as well.

-Unfortunately, due to the volume that this room can sometimes reach, we will be trying out a new business meeting location next month, Buzz Inn on Broadway (3121 Broadway Everett, WA 98201), unless others have suggestions that are better.  They have a good meeting space in the back next to the restroom doors that should be private and more quiet.  They don’t charge a rental charge.  The only downside is that the majority of the parking is in the back, and there is a flight of stairs to get from that parking lot to the main floor, so if you are able bodied, please park in back and leave the upstairs parking spaces for those who need them.  Again, if better suggestions come up, this will change, and I will post to the Reeds and elsewhere closer to that time.  That meeting is March 28th.

-We have an official applicant for Youth and Family Activities, Sorcha Magnusson.  We’ve started the background check process, but Kingdom said we don’t have to wait for that before they can hold office, just before actually running activities with youth.  I will announce on the Reeds and open a commentary period allowing folk to chime in.

-Transition of keys, storage unit and post office contact information, e-mail, files, etc. all is complete.

-I started working on setting up contracts for the year and found we needed to spend some time looking for some competitive bids, but we’ll go into details during the Exchequer’s portion of the meeting.

-The Kingdom event site shows we’re missing waivers on many events, but I can see that Maighster Conal e-mailed them, so I’m waiting to hear back about how this can be resolved.  He did pass on the originals for many events, so if I need to mail the originals, that can still happen.

-The Kingdom Seneschal is looking into my insurance question to verify if the landowner of an event or practice space is protected by our insurance if they are a SCAdian, since there was conflicting information between the Kingdom Seneschal Handbook and the Quick Reference Guide.  My current understanding is that the property is protected, but the owners aren’t protected against liability claims, so they should get a rider on their personal insurance to protect themselves, but I’m not sure if I’m deducing this correctly.

-I have access to the website now and started figuring out how to make changes, including updating the officers page.  I plan to help create pages for things like the Arts and Sciences gathering, so I stopped by their gathering in February and took pictures of the great space they are using out in Marysville.  Knowing that many folk aren’t comfortable going to places when they don’t know what to expect, I’m hoping this helps increase participation and I would love for each area of interest to have a page so folk know how to participate more.

-I would like to have some one-on-one time with each officer to determine how I can best help you and make sure we have all information on file up to date.  I wanted to handle this before this meeting, but other priorities came up.  I have the most current roster here, so please check in after the meeting to verify your information and set up a meeting time if we haven’t had a moment yet.

-I verified: Quarterly reports are due on the 15th of the month following the end of the quarter, so your next quarterly reports are due April 15th, covering January through March.  If you didn’t send your 4th quarter report yet, please do ASAP.  Send it to the Coronets, myself, your Kingdom officer, and your Baronial Greater officer (if you have one).

-If you’ve not reviewed our policies recently, please look over the Baronial Documents page under Resources on our website to see the most current Customary and Financial Policy.  As these are overdue for review, we will be going over these soon.

^HL Sabina and I spent some time looking at the costs for hosting events at the Masonic Family Park. As everyone knows, costs are rising, and we have not been missed in this trend. While we don’t have a lot of costs for these events, the few we have are going up.

-Park:

Adult Daily Rate – from $10 to $15/day,  Child Daily Rate (13-17) – from $5 to $7.50/day;  Building Rentals – from $100 to $150/weekend

Biffies:  Honey bucket went from $1150 to $2700;  Greenhaus Portable Restrooms (Possible New Vendor) quoted $1750 for a similar setup.

Other things to note:  1) We considered changing venues, but most other campgrounds are running $28+ per night. 2) Local LARP events are advertising at $50-$100 now.3) Other baronies have mentioned similar issues, and are also facing increasing pricing, or decreasing events.  $)We are considering lowering the amount of biffies to help bring costs down, but this may not have a large effect on the actual event pricing. 5)· Sabina is also in talks with another biffy vendor, in the hopes of bringing the costs down further, but has not yet received their quote.

-Please feel free to reach out to the Financial Committee with any questions, concerns, or ideas for ways to reduce pricing.
